ALR Dynamics (QuickBase Replacement) Project Begins

EOEA has kicked off a project to replace the ALR Incident Reporting system, based on the QuickBase platform, with an enhanced incident reporting system based on Microsoft Dynamics.  The new system will maintain a similar workflow to track reportable incidents, but with functional enhancements to support efficient collection of key incident information.  We expect that it will be easier and more secure to provide follow-up information on certain categories of incidents.

Regulatory policy regarding reportability of incidents, and reporting timeframes, will be unchanged.

EOEA and its implementation partner Commonwealth Medicine, part of Umass Medical School, expect to conclude implementation of the new Dynamics system in early June 2019. QuickBase will be shut down no later than June 30, 2019.

System enhancements on board:

  • Resident-specific information in Incident reports
  • Incident reporters can add follow-up info, such as police reports, directly to an Incident Report after submission
  • EOEA can tag an Incident as Not Reportable, improving analytical capacity
  • Incident Reporters may be associated either at a corporate or ALR level, streamlining reporting workflow for multi-ALR organizations
  • ALR organizations can manage their own Dynamics users.  Note that because the system will manage residents' Personal Information, it will be required that all Incident Reporters have named user accounts.  Shared user accounts as on the QuickBase system will no longer be permitted.
  • Consolidation of EOEA external databases for certification and visit tracking

Next steps for implementation team

  • Design, develop
  • Finalize schedule
  • Establish pilot group
